The Challenge

Discover how EPEAK Studio deployed BadgeIt! to streamline the attendee badge printing and retrieval during Cyberconference 2024.

This year, the main focus for this leading event in the cybersecurity industry was to make the registration process more efficient. Additionally, this was an opportunity to improve the conference’s security and find a dynamic way for attendees to connect. 

In fact, our client identified several opportunities for improvement based on the previous edition’s learnings.

Avoiding Long queues & check-in delays

With the previous solution, guests had to wait in a long line to check-in and collect their badges. The manual process of registering attendees was slow and ineffective, leading to frustration and delaying the overall start of the conference.

Overcoming limits to on-site printing

In the past, the use of consumer-grade printers slowed down the registration process. In fact, this limited the number of attendees that could be checked in per hour. The limited bandwidth caused longer wait times, and created congestion due to the sheer volume of attendees.

Improving access control

During the conference, attendees could potentially end up in unauthorized areas due to a lack of access control. This was because the previous badges looked the same for organizers and event attendees. 

Facilitating interaction between attendees

Guests had no access to a modern QR-code based networking solution. This slowed down the networking process and had the potential to prevent potential connections.

What we did

Cyberconference decided to find a way to not only reduce check-in times, but also improve the overall access control and attendee experience.

That’s why EPEAK Studio deployed BadgeIt! – a smart badge printing and registration solution, tailored to meet the specific needs of Cyberconference. 

With BadgeIt!, Cyberconference 2024 attendees enjoyed numerous benefits:

Automated QR code check-in

Once attendees finished registering online, they were given a QR code. They would use this unique code to  quickly check-in upon arrival at the conference. This fully digital check-in process is faster and prevents manual data entry errors.

Fast on-demand badge printing

Badgeit! replaced the previous limited bandwidth setup with high-capacity printers. Thanks to this fast on-demand badge printing solution, attendees were able to collect their badges within minutes.

What’s more, before printing, attendees get an opportunity to review and update their information, drastically reducing errors and ensuring the accuracy of each badge printed.

Enhanced access control

With BadgeIt!, each badge contains a unique, secure QR code that can be scanned to verify access permissions. Thanks to this feature, security staff had a way to verify if a person should be allowed to access a private area or not.

Easy networking with instant contact sharing

When networking, attendees could scan the QR code on each other’s badges to exchange contact information instantly. This was made possible thanks to the seamless integration of BadgeIt! with Swapcard, the event app for Cyberconference 2024.

This made it easier for attendees to make connections, increasing networking opportunities and improving the overall event experience.
